This Privacy Policy explains how Wedding Venues Spain ("we", "us", "our") collects, uses and protects the personal data you provide through weddingvenuesspain.com. It complies with the EU General Data Protection Regulation (GDPR, Regulation 2016/679) and Spanish Organic Law 3/2018 on Personal Data Protection.

1. Who we are

2. What data we collect

We collect the following categories of personal data through our website:

  • Contact form data: couple names, email address, phone number (with country code), approximate wedding date, guest count, preferred region, budget range and any free-text message you send us.
  • Shortlist data: venue slugs you save to your shortlist. Stored in your browser (localStorage) and sent to us only if you submit an enquiry.
  • Technical data: IP address, browser type, device information, pages visited and referrer, collected via server logs and privacy-respectful analytics.

3. Why we use your data

We use your personal data for the following purposes:

  • Contacting you directly by email, phone or WhatsApp to understand your brief and reply to your enquiry. Our team may reach out before or instead of sharing your details with a venue when we believe a personal introduction is more useful.
  • Connecting you with venues, wedding planners or pre and post-wedding venue partners that match your brief.
  • If you tick "I want a wedding planner" on the form, forwarding your details to wedding planners we work with so they can send you proposals.
  • Improving our website, understanding how visitors use it and fixing technical issues.
  • Complying with legal obligations (accounting, tax and any court order or lawful request).

4. Legal basis

We process your personal data on the following legal grounds under GDPR Article 6:

  • Consent (Article 6.1.a): you tick the consent box on the contact form. You can withdraw consent at any time by emailing us.
  • Legitimate interests (Article 6.1.f): responding to enquiries, improving the website, preventing fraud and abuse.
  • Legal obligation (Article 6.1.c): keeping records required by Spanish tax and consumer law.

5. Who we share your data with

When you submit an enquiry, your details are received by our team first and, when relevant, forwarded to the venue owners, wedding planners or pre and post-wedding venue partners you might book with. We only share the data needed for them to respond to you.

Enquiries are handled through FOREVENTOS, our sister venue management platform (operated by the same controller, WVS Partners SL). Your details are stored in the FOREVENTOS database so our team can track and respond to your request.

We also use the following third-party processors to run the website:

  • Supabase (database and file storage, hosted in the EU) — for storing venue data, planner profiles and enquiry submissions.
  • Resend (transactional email) — for sending emails to our team, to venues and to you when relevant.
  • Vercel (hosting and content delivery) — for serving the website.

We do not sell your personal data. We do not share it with advertisers or marketing platforms.

6. International transfers

Some of our processors (Vercel, Resend) may transfer data to the United States. These transfers are protected by the EU-US Data Privacy Framework or Standard Contractual Clauses approved by the European Commission.

7. How long we keep your data

  • Enquiry data: up to 3 years from your last interaction with us, unless you ask us to delete it earlier.
  • Website logs: up to 12 months.
  • Accounting records: 6 years, as required by Spanish tax law.

8. Your rights

Under GDPR you have the right to:

  • Access the personal data we hold about you.
  • Correct data that is inaccurate or incomplete.
  • Ask us to delete your data ("right to be forgotten").
  • Restrict or object to our processing.
  • Receive your data in a portable format.
  • Withdraw consent at any time.
  • Lodge a complaint with the Spanish data protection authority (AEPD, aepd.es).

To exercise any of these rights, email info@weddingvenuesspain.com. We reply within 30 days.

9. Cookies

We use a minimal set of cookies for essential website functionality (session, security) and privacy-respectful analytics that do not identify you individually. We do not use advertising cookies or third-party trackers. You can block cookies via your browser settings without breaking the website.

10. Security

We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls on our databases and encryption of sensitive fields. No system is perfectly secure, but we work to keep the risk low.

11. Children

Our website is intended for adults planning weddings. We do not knowingly collect personal data from children under 16. If you believe a child has submitted their data, contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. The last updated date at the top of this page reflects the current version. If we make material changes, we will highlight them on the website and, where appropriate, notify you by email.
