What is venue scouting?

Venue scouting is a done-for-you search that turns your ideas (date, guest count, style and budget) into a focused shortlist of maximum 10 venues that genuinely fit. We pre-check availability windows, capacities, rules (music/curfew), plan-B spaces and typical costs, then package everything so you can compare options quickly and book viewings with confidence.

How long will it take to receive our shortlist?

Typically 7–10 business days from your brief. If you’re exploring multiple regions or targeting peak dates, allow up to 14 days so we can properly verify availability and rules. Occasionally a perfect-fit venue may be slow to confirm (availability, curfews, exclusivities); while that’s outside our control, we chase updates daily and still aim for the 7–10 day window—if one reply lags, we’ll deliver the rest on time and add that venue (or a similar alternative) as soon as we have the facts.

How do we get started, and what information do you need from us?

Contact us via email or WhatsApp to get started. We’ll reply with a short questionnaire (please complete it as fully as you can so we can move fast and be precise.) Essential first step is for you to choose your preferred region in Spain (at least a first choice or two). If you’re still undecided, we’ll share our destination guide or do a quick clarifying chat to help you pick.

Once we receive your answers and region, we’ll confirm scope and fee, set a 7–10 business day delivery window for your shortlist, and begin scouting.

What if none of the suggested venues feels right?

We work in two waves of up to 10 venues. You’ll first receive 5 vetted options. If none feel right, we’ll add up to 5 more (total 10) based on your feedback. If you’d like more than 10, we can upgrade the scope and confirm the fee before proceeding.

Prefer not to add more but have venues you’ve found yourself? Send them over. We can request the necessary details from those venues and help with the reservation process, they won’t count toward your 10.

Can you arrange virtual walk-throughs and in-person visits?

Yes. Once you’ve picked the venues you want to see from your shortlist, we’ll connect you directly with each venue’s coordinator to lock in virtual walk-throughs (live video or recorded tours) and in-person visits. We help propose time slots, share a concise visit checklist, group multiple viewings into efficient routes where possible, and stay copied on messages to keep everything moving. Scheduling depends on venue availability and response times, but we’ll nudge for confirmations and keep you updated.

Which regions do you cover, and what guest counts do you work with?

Main regions: Barcelona, Mallorca, Ibiza, Costa Brava, Málaga, Marbella, Costa Blanca and Madrid (and we can scout other Spanish regions on request). Guest counts: typically 30–200+. We handle anything from intimate celebrations to larger parties, as long as the venue fits capacity, curfew and logistics—tell us your target and we’ll shortlist accordingly.
